Student Email Notification Options

Personalized Email Notification The Email Notification Editor allows administrators to draft, customize, and send personalized email notifications to students. It provides flexible formatting, dynamic placeholders, and scheduling options to ensure that messages are timely and relevant. Email Subject Field This is the subject line of the email that students will see in their inbox. It should be short, clear, and attention-grabbing. Example: “🔥 Congrats! Unlock Your Next Course with a Special Offer 🚀” WYSIWYG (Rich Text) Editor Provides a familiar WordPress-style editor for creating the email body. Features include: Text formatting (bold, italics, underline, bullet points). Adding media such as images or attachments. Inserting forms or custom HTML (if supported). This allows you to design professional, branded messages without needing coding knowledge. Placeholders: Placeholders automatically replace with dynamic student data when the email is sent. The available placeholders are shown in the right-hand panel: {Student_Name} : Displays the filtered student’s name. {Group_Name} : Displays the selected group name. {Course_Name} : Displays the selected course name(s). {Quiz_Name}: Displays the selected quiz(zes). {Assignment_Name} : Displays the selected assignment(s). Example: Email draft: Dear {Student_Name}, Congratulations on successfully completing your course {Course_Name}! 🎉 Your dedication and hard work have truly paid off. Final email sent to John Doe: Dear John Doe, Congratulations on successfully completing your course Introduction to Calculus! 🎉 Your dedication and hard work have truly paid off. This feature ensures each student receives a personalized message. Notification Status Panel Located on the right-hand side. Shows the current status of the notification (Draft, Scheduled, or Sent). Displays the scheduled date and time if the notification is planned for future delivery. Delivery Options At the bottom of the editor, administrators have three options: Save Draft Save the email without sending. Useful for reviewing, editing, or getting approval before delivery. Send Now Immediately send the email notification to the selected students. Recommended when sending time-sensitive messages (e.g., reminders, urgent updates). Schedule Notification Allows administrators to select a future date and time for sending the email. Useful for planned campaigns, automated follow-ups, or reminders. Rescheduling & Restrictions Rescheduling: A scheduled notification can be rescheduled to a different date and time if needed. Disable Rescheduling: To avoid last-minute issues, all scheduling fields (including reschedule options) become locked 15 minutes prior to the scheduled send time. However, administrators can still cancel the notification up until the moment of delivery. Best Practices Always use placeholders for personalization to improve student engagement. Keep the subject line short, clear, and action-oriented. Use the Save Draft option for review if multiple admins are collaborating. Schedule notifications in advance for milestones (course completion, assignment deadlines, quiz reminders). Avoid frequent rescheduling to prevent confusion in student communications. With these options, the Email Notification Editor gives admins complete control over when, how, and to whom notifications are sent, while ensuring a personalized experience for every student.
